Job purpose
To provide a professional, friendly, and efficient reception service for patients, doctors, nurses, and the wider healthcare team. The GP Receptionist acts as the first point of contact for patients and supports the smooth running of the practice by managing appointments, enquiries, and administrative tasks while maintaining confidentiality at all times.
Key responsibilities
- Welcome patients and visitors to the practice in a polite and professional manner.
- Answer telephone calls promptly and deal with patient enquiries effectively.
- Book, amend, and cancel GP and nurse appointments using the practice clinical system.
- Handle requests for repeat prescriptions and direct medical queries appropriately.
- Provide information to patients regarding practice procedures and services.
- Liaise with GPs, nurses, pharmacists, and other healthcare professionals.
- Maintain accurate patient data and ensure confidentiality in line with GDPR and NHS policies.
- Manage patient queries, including those that may be sensitive or challenging, with empathy and professionalism.
- Support the organisation of clinics, recalls, and health campaigns.
- Maintain a tidy and welcoming reception area.
- Carry out general administrative duties, including filing, scanning, and document management.
- Follow practice policies, procedures, and safeguarding requirements.
Essential skills and experience
- Previous experience in a customer service, reception, administration, or healthcare setting.
- Excellent communication and interpersonal skills.
- Ability to remain calm and professional when dealing with busy or challenging situations.
- Strong organisational skills and attention to detail.
- Good IT skills and ability to learn healthcare systems (e.g., EMIS).
- Ability to handle confidential information appropriately.
- Ability to work effectively as part of a team.
Desirable skills
- Previous experience working in a GP surgery, NHS, or healthcare environment.
- Knowledge of NHS procedures and terminology.
- Experience using clinical software systems.
